Terms

Terms,
kept simple

The deal, in plain language. You know what you pay before you pay it, your data is yours, and either of us can end things cleanly.

Last updated September 1, 2026 · These are beta terms. A fuller agreement replaces them at general availability, and we'll tell you before anything changes.

Who you're agreeing with

greatroom is operated by GuestLink LLC. Write to us at hello@greatroom.ai. When these terms say "we" or "us" they mean that company. When they say "you" they mean the company whose room this is, and everyone you invite into it.

The service

greatroom gives your team a shared workspace: rooms, tasks, documents, and a company brain, where AI agents work alongside people under a badge-scoped permission system. It is beta software. It changes often, and that is the point of a beta.

Your account and your team

An admin creates the room and invites the rest. Everyone you invite acts on your behalf, so their use is your responsibility. Keep your sign-in to yourself, and tell us at hello@greatroom.ai if you think someone else is in your account. You must be 18 or older. greatroom is built for businesses and is not directed at children.

What you pay

Your price is set out in your proposal and on your bill: a one-time setup fee, then a monthly amount per seat for everyone in your room, plus any taxes that apply where you are. The subscription renews every month, at the same amount per seat, until you cancel. Seats are counted as people join and leave, so the amount can change from month to month.

Cancel any time from Settings, the same place you subscribed. Cancellation takes effect at the end of the period you have already paid for, and you keep the room until then. We will not charge you again after you cancel.

If a payment fails, we retry it. If a room is not paid up, it pauses: your data stays where it is and stays yours, and an admin can subscribe again to reopen it. If we change the price, we tell you at least 30 days ahead, the change takes effect at your next renewal, and you can cancel before it does.

Refunds

You can cancel any time and keep access through the period you paid for. We don't refund part-months. If your first charge after the trial was a surprise, write to hello@greatroom.ai within 14 days of it and we will refund it in full. A charge you did not expect is a mistake worth telling us about, and we will always look at a mistake on our side.

If you are in the EU or the UK and buying as an individual rather than for a business, you have 14 days to withdraw from this contract. By starting your trial you ask us to begin right away, and you accept that once we have, that right ends.

Your content

Your content stays yours: your messages, your tasks, your documents, and anything your agents produce for you. You give us only the license we need to run the service: to store your content, show it to your badged teammates and agents, back it up, and send it where you have asked us to send it. We claim nothing else. We do not sell your content and we do not use it to train models. Only put content into greatroom that you have the right to use.

Agents, and what they run on

Agents in your room act on your team's instructions, inside the badges you grant them. Approval holds exist so a person stays in charge of what leaves the building. Please use them. You are responsible for what your room sends into the world.

Agents run on Claude. Each member signs in to their own Claude account through Anthropic's own sign-in page, and Anthropic bills that member directly under their agreement with Anthropic. An admin can instead add a company API key, and usage on that key bills to whoever owns it. We do not buy, resell, or pass through Claude usage on your behalf, and we never hold your Anthropic sign-in. Your use of Anthropic's products is governed by Anthropic's terms and usage policy, and breaking those is also a breach of these terms.

When an agent works, the parts of your room it has a badge to read are sent to Anthropic to produce the answer. When you connect an outside tool, the data that tool needs is sent to that tool. The current list of who we send data to is in our privacy policy.

Agents can be wrong. They summarize, draft, and act on language, and language models make mistakes. Check anything that matters before it goes out the door. Agents are always shown as agents in greatroom, never as people.

What you may not do

  • Break the law, or harm people or systems.
  • Resell greatroom, or run it as a service for someone else, without our written agreement.
  • Work around the permission gate, the approval holds, or any limit we set.
  • Scrape, load-test, or attack the service.
  • Upload malware, or content you have no right to.
  • Use greatroom to do anything Anthropic's usage policy forbids.

We can suspend or close an account that breaks these terms. Where we can, we tell you first and give you a chance to fix it. Where the risk is immediate, we act and then explain.

Our side

The software, the design, and everything in greatroom that is not your content stays ours. If you send us an idea for the product, we can use it without owing you anything for it, and we appreciate it.

Ending things

Leave whenever you like: cancel in Settings, export your room, delete your account. After you cancel we keep your data available to export for 30 days, then we delete it from production systems, and backups age out on their own schedule. Ask us to delete it sooner and we will. We can end the beta or close the service with reasonable notice, and we will give you time to get your data out. We will never do it silently.

Changes to these terms

We post any change here with a new date and tell the admins of every active room before it takes effect. Keep using greatroom after that and you accept the new version. If you would rather not, cancel, and we will refund the unused part of the period you have paid for.

The fine print

greatroom is provided as is and as available. To the fullest extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not promise that the service will be uninterrupted or error-free, or that agent output will be accurate.

To the fullest extent the law allows, neither of us is liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, or data. Our total liability for any claim is capped at the amount you paid us in the twelve months before the claim.

You will defend and indemnify us against third-party claims arising from your content, your use of greatroom, anything your room sends into the world, or your breach of these terms.

Law and disputes

These terms are governed by the laws of the State of California, without regard to its conflict of laws rules. Any dispute is resolved in the state or federal courts located in Santa Clara County, California, and we each consent to that venue. Small claims court stays available to both of us. Talk to us first. Most of this is solved by an email to hello@greatroom.ai.

The rest

You may not transfer these terms without our consent. We may transfer them to a company that buys greatroom. If a clause is unenforceable, the rest still stands. These terms plus our privacy policy are the whole agreement between us. Notices go to hello@greatroom.ai and to the admin email on your account. Questions to hello@greatroom.ai.
